Negotiate the terms of the event. Events can be pre-paid where one client pays for everything, or speculative where you sell to individual event guests.
Plan your final product. Incorporate greenscreen, props and borders according to the theme of the party or the personality of the group. Buy ExpressDigital Templates, purchase templates from partner companies or make your own templates in the Template Workshop. Templates are a great way to promote the event sponsor and party theme!
Design your event set-up. Discover how much space you will have and visit the location if possible. Make a detailed plan. Know where your backdrop, lights, camera, printers and computers will be.
Hire or schedule assistants. Consider the event size and plan accordingly.
Create a customized PhotoReflect.com site. Increase revenue through online sales.
Plan your marketing. Have a way for your customers to find you after the event. Include your phone number, website address, photo services, etc.
SET UP THE SHOOT
Arrive early and prepare your photo shoot. Set up your backdrop, lighting, umbrellas, etc. Bring backup equipment in case of emergency.
Set up your computers and printers. Practice your computer setup before your first event and again before the guests arrive.
Position your camera. Use a tripod and take some sample shots to practice the tethering. Check for lighting problems or inconsistencies. Don’t forget to have a backup camera, batteries and memory cards on hand.
Lay out your marketing materials. Make sure your company name is visible with signs, tablecloths, business cards, and marketing slicks.
Practice and review the flow with your assistants. When setup is complete, run through the entire workflow. Make sure everyone is on the same page.
AT THE EVENT
Photograph your clients. You could shoot one picture or a few that guests pick from.
Make the final product in Darkroom. Create your saleable product using event borders, color changes and greenscreen backgrounds.
Help guests choose photos at viewing stations. Then create their orders right there, send the order to the printer, print a receipt and close the sale.
Collect customer information. As guests order photos, get their information for reprints and marketing.
Collect money if this is a speculative event.
Print the placed orders. Once orders are placed, Darkroom can automatically print the orders.
Prepare the final product. Pictures can be placed in paper frames, envelopes or plastic sleeves. Remember to include marketing items.
Deliver the final product. Photos can be printed instantly while the customer waits or customers can pick up their photos as they leave the event.
AFTER THE EVENT
Post photos on PhotoReflect.com. Post your event photos as soon as possible after the event. In Darkroom, enter the collected customer email addresses. Customers will automatically receive an email indicating their photos are posted on PhotoReflect.com.
Print additional orders and specialty products yourself or through professional labs on the Labtricity network. There are over 200 labs to choose from for all your professional printing needs.
Send a thank you to the event planner. Networking is key to a successful business. Accompany your thank you note with a photo as a gift. They will remember you when planning their next event!
